Privacy Policy
Effective date: 1 April 2025
Fund My Film ("we", "us", or "our") is committed to protecting your personal information. This Privacy Policy explains what data we collect, how we use it, and your rights in relation to it. By using Fund My Film, you agree to the practices described in this policy.
1. Information We Collect
We collect information you provide directly when you:
- Create an account — name, email address, and password.
- Create or edit projects — project title, description, genre, budget range, stage, cast, crew, and any other details you choose to enter.
- Track or apply to opportunities — records of which opportunities you have saved, tracked, or applied to.
We may also collect limited technical data automatically, including:
- Browser type and version
- Pages visited and time spent on the platform
- IP address and general location (country/region)
2. How We Use Your Information
We process your data under the following lawful bases:
- Contract — To provide the core Fund My Film service and manage your account, including matching your projects with relevant funding opportunities and responding to support requests.
- Legitimate Interests — To improve our platform, ensure security, monitor usage patterns, and send Service Emails (e.g., updates on projects you are actively tracking).
- Legal Obligation — To comply with applicable laws and regulations.
- Consent / Soft Opt-in — To send Marketing Emails (e.g., reminders for general deadlines or alerts for new opportunities). You can opt-out of these at any time.
We will never sell your personal data to third parties.
3. Data Sharing & Third Parties
We may share your data with trusted third-party service providers who help us operate the platform, including:
- Hosting and infrastructure providers — to store and serve your data securely
- Authentication services — to manage account sign-in
- Google APIs — if you choose to connect your Google account to use our Calendar or Google Docs integration features (see Section 4 for details)
- Analytics tools — to understand aggregate usage patterns (no personally identifiable information is shared)
All third-party providers are contractually required to handle your data securely and in accordance with applicable privacy law. We do not share your data with funding organisations, film markets, or other external parties without your explicit consent.
4. Google API Disclosure
Fund My Film's use and transfer of information received from Google APIs to any other app will adhere to Google API Services User Data Policy, including the Limited Use requirements.
If you choose to use our Google integration features, we access the following data:
- Google Calendar — to create, update, and delete calendar events representing application deadlines for opportunities you track. We only access the specific calendar you select during the connection process.
- Google Drive & Docs — to create new Google Documents to help you draft your applications. We only have access to the specific files created by Fund My Film.
Your Google data is used exclusively to provide these requested integration features. We do not use this data for any other purpose, nor do we share it with third parties, except as required to provide the service or comply with the law.
5. Data Retention
We retain your account and project data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where we are required to retain it for legal or compliance purposes.
6. Security
We take reasonable technical and organisational measures to protect your personal data from unauthorised access, loss, or disclosure. These include encrypted connections (HTTPS) and access controls. However, no system is entirely immune to risk, and we cannot guarantee absolute security.
7. Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access — request a copy of the data we hold about you
- Correction — ask us to correct inaccurate or incomplete data
- Deletion — request that we delete your account and associated data
- Portability — request your data in a machine-readable format
- Objection — object to certain types of data processing
You also have the right to withdraw consent for marketing communications at any time. This can be done via the 'unsubscribe' link in our emails or by contacting us directly.
To exercise any of these rights, please contact us using the details in Section 11.
8. Cookies
Fund My Film uses cookies solely to save your website preferences and keep you signed in. Specifically, we use:
- Sidebar state — a cookie that remembers whether you have the navigation menu open or closed, so your layout preference is restored when you return.
- Authentication — a session cookie used to keep you signed in to your account.
We do not use any advertising, tracking, or third-party analytics cookies. You can decline non-essential cookies via the banner shown on your first visit. Declining will prevent your sidebar preference from being saved, but the platform will continue to function normally.
9. Children's Privacy
Fund My Film is not directed at children under the age of 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. We encourage you to review this policy periodically. Continued use of Fund My Film after changes are posted constitutes your acceptance of the updated policy.
